The reputation of TopReasons Services rests on the people and businesses we
engage on behalf of our clients. This Code sets the standards we expect from
every supplier we work with — hotels, transport providers, restaurants,
venues, event partners, and individual specialists alike.
1. Purpose
We engage suppliers because clients trust us to find people who do their work
well, lawfully, and with care. This Code tells you what we expect of you when
you take on work for one of our clients. Where any of these standards are
tighter than the law you operate under, the standards in this Code apply.
2. Quality of service
- Deliver what you have committed to, on time, in good order, and to the standard that earned you a place on our list of suppliers.
- Communicate proactively if anything threatens to change — availability, pricing, staffing, timing — rather than letting a client discover it on arrival.
- Resolve issues at source where possible, with discretion, and without putting the client in the middle of a problem.
3. Discretion and confidentiality
- Treat the identity, plans, and preferences of TopReasons clients as confidential. Do not share these details outside the people on your team who need them to deliver.
- Do not publicise, post, photograph, or share content involving clients without their explicit permission.
- Do not approach a client to sell additional services directly, outside the arrangement we have made on their behalf, unless we have agreed to that.
4. Lawful conduct
- Anti-bribery and anti-corruption. Do not offer, accept, or solicit any improper payment or favour in connection with TopReasons work. This includes kickbacks for referrals.
- Anti-money-laundering. Decline arrangements that are evidently intended to disguise the source of funds, and cooperate with any reasonable verification we ask for.
- Sanctions and trade controls. Comply with sanctions and trade rules that apply to your business.
- Licences and permits. Hold and maintain all licences, permits, registrations, and insurances required to do your work lawfully.
5. Labour and human rights
- Do not use child labour, forced labour, bonded labour, or human trafficking in any part of your operation.
- Pay your people fairly and on time, and observe applicable working-time and rest-period rules.
- Maintain a workplace free from harassment, intimidation, and unlawful discrimination.
- Respect the right of workers to raise concerns without fear of retaliation.
6. Health, safety, and security
- Keep premises, vehicles, and equipment in safe working condition for staff and guests alike.
- Maintain appropriate insurance for the work you do and the people on your premises.
- Handle medical or security incidents involving a TopReasons client with care, and inform us promptly so we can support the client.
7. Environmental responsibility
- Operate in line with applicable environmental laws and permits.
- Take reasonable steps to minimise waste, conserve resources, and reduce the environmental impact of your operation.
8. Data protection
- Handle any personal information you receive from us only for the purpose of delivering the booking.
- Keep that information secure and do not retain it longer than necessary.
- Comply with the Ghana Data Protection Act, 2012 (Act 843) and any other data-protection law that applies to you.
9. Conflicts of interest
Tell us promptly if you become aware of a conflict of interest that could
affect the work you are doing on a TopReasons booking — including personal,
financial, or commercial relationships that a reasonable client would want
to know about.
10. Reporting concerns
If you become aware of a possible breach of this Code, by your own
organisation or by anyone else involved in a TopReasons booking, report it
to enquiries@topreasonsco.com.
We will treat the report confidentially, and we will not retaliate against a
supplier who raises a concern in good faith.
11. Compliance and consequences
We may ask for reasonable evidence that you are meeting this Code (for
example, licences, insurance certificates, or policies). Where a supplier
fails to meet the Code, we may suspend or terminate the relationship, and we
may decline to engage that supplier on future bookings.
12. Updates
We may update this Code from time to time. The version in force at the point
we engage you on a booking is the one that applies to that booking.

This Code expresses the standards we expect from suppliers. It is not legal
advice and may be updated as our practices evolve. Specific commercial terms
with a supplier may add to but not weaken the expectations set out here.
