TopReasons Services is a luxury concierge service based in Accra, Ghana.
Discretion sits at the centre of what we do, and that includes how we
treat the personal information of clients and visitors.
1. Who this policy applies to
This policy applies to anyone who visits our website, makes an enquiry,
pays for a service through a TopReasons Services payment page, or otherwise
interacts with us in connection with our concierge work.
2. Information we collect
We may collect the following categories of information:
- Identity and contact details — name, email address, phone number, and where relevant, postal address.
- Booking details — the nature of the request you ask us to arrange, dates, preferences, and any context you share to help us deliver.
- Payment details — payment is processed by our payment partners (Fidelity Bank Ghana, DPO Group, and Flutterwave). We receive a confirmation that the payment succeeded or failed; we do not store full card numbers ourselves.
- Technical information — IP address, browser type, and basic device information, used to keep the service secure and to investigate issues if a transaction does not behave as expected.
3. How we use your information
- To respond to enquiries and arrange the services you have asked us to provide.
- To process payments and keep accurate records of transactions.
- To contact you about a booking, payment, or related concierge matter.
- To improve our service, prevent fraud, and protect the security of our systems.
- To comply with our legal and regulatory obligations in Ghana.
4. Sharing your information
We share personal information only where it is necessary to deliver the service
you have asked for or to meet a legal obligation. This includes:
- Suppliers fulfilling your booking — for example, a hotel, airline, transport provider, restaurant, venue, or partner concierge. We share only what is needed to make the arrangement work.
- Payment partners — Fidelity Bank Ghana, DPO Group, and Flutterwave, in order to process card and mobile money payments securely.
- Professional advisers and authorities — where required by law in Ghana, or to defend our legal rights.
We do not sell your personal information.
5. Your rights under the Ghana Data Protection Act, 2012 (Act 843)
You have the right to:
- Ask what personal information we hold about you.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete personal information where we no longer have a lawful reason to keep it.
- Object to processing in certain circumstances, including direct marketing.
- Lodge a complaint with the Data Protection Commission of Ghana.
To exercise any of these rights, email
enquiries@topreasonsco.com.
We respond as promptly as the request reasonably allows.
6. How long we keep information
We keep personal information for as long as it is needed to deliver the service,
meet our record-keeping obligations under Ghanaian law, and protect against
disputes or fraud. When information is no longer needed, we securely delete or
anonymise it.
7. Cookies
Our website uses essential cookies to keep you signed in and to keep payment
sessions working correctly. We do not use cookies for advertising or third-party
tracking. Your browser can be set to refuse cookies, though some parts of the
site may not work properly without them.
8. Security
We use reasonable technical and organisational measures to protect personal
information against accidental loss, unauthorised access, or disclosure.
Payments are routed through our payment partners over secure, encrypted
connections; we do not store full card details on our own systems.
9. Children
Our services are designed for adult clients. We do not knowingly collect
personal information from anyone under 18.
10. Changes to this policy
We may update this policy from time to time. When we do, we will update the
effective date above. If a change is significant, we will let you know in a
reasonable way.
